Smart Travel Tips for a Smoother Journey

These practical travel tips can help you save time, avoid common travel hassles and create a more enjoyable journey from start to finish. And, Business Travelers, if you haven’t done these two things – you’re not ready to travel for work!

Whether you're heading out on a weekend getaway, dream vacation or work-related travel, a little preparation can make for a smoother experience. The good news is that a few simple habits can help you save time, reduce stress, and make the most of every destination.

PACK LIGHT: One of the best travel tips is to pack light. Bringing only what you need makes it easier to move through airports, train stations, and hotels. Choose versatile clothing items that can be mixed or matched and leave a little extra room in your suitcase for vacation souvenirs.

ORGANIZE YOUR DOCUMENTS: Before you leave, take a few minutes to organize important documents. Keep digital copies of your passport, identification, travel itinerary, and hotel reservations in a secure location. Having backups can be incredibly helpful if something gets lost.

ARRIVE EARLY: It is also a good idea to arrive early. Whether you are catching a flight, boarding a cruise, or taking a train, giving yourself extra time can help you avoid unnecessary stress and handle unexpected delays.

STAY FLEXIBLE: Travel does not always go exactly as planned, and that is okay. A delayed flight, unexpected weather, or a change in plans can sometimes lead to memorable experiences you might have otherwise missed.

ATTENTION BUSINESS TRAVELERS

All Business Travelers, team members who travel for work purposes and/or submit expense reports for reimbursement related to travel, must do two things BEFORE booking any travel:

  1. Create a Travel Profile – Contact Jackie Ritter (Jackie.Ritter@olysteel.com) or Deb McMillan (Deb.McMillan@olysteel.com) to get started. Once this is complete, you’ll have access to the system we use to book travel (rental cars, hotels, and flights).
  2. Create an Accounts Payable Profile – This is so you can be reimbursed for eligible expenses. Part of this process involves an explanation of our expense reporting procedure. If you have not done this, reach out to Tracey Sommers (Tracey.Sommers@olysteel.com).

If Plans Are Interrupted

When something unexpected happens while traveling, knowing where to turn for help can provide peace of mind. You have several resources available, including local emergency services, hotel staff, airline or transportation customer service, and travel insurance providers. Many hotels can assist with medical emergencies, transportation issues, lost items or contacting local authorities.

NOTE FOR BUSINESS TRAVELERS: If travel plans are interrupted, you will only be able to receive support through the Travel Department if you use Concur (our booking system) to book your travel AND your reservations are with our established travel partners. If you do not use Concur or our designated travel partners, then you’ll need to contact the vendors directly to request assistance.

If important documents are lost or stolen during international travel, contact the nearest embassy or consulate for assistance (see Organize your documents above).

Preparation is one of the best travel safety tools. Keep copies of important documents, carry emergency contact information, and know where to get help. Having all of this information will make it easier to handle unexpected situations and help you get your trip back on track.
